The finance department plays a central role in managing KFF’s grants, contracts, accounting and other financial responsibilities and this is an opportunity to become part of a team supporting a nonpartisan mission driven organization working with dedicated colleagues committed to improving health care for all communities.  Headquartered in San Francisco, CA, KFF also has a large presence in Washington, DC as well as a few smaller satellite offices.

Position Summary:

KFF is seeking a Grants & Contracts Management Officer to work closely with a highly collaborative finance and accounting team.  We are a small and ambitious group that pride ourselves on being impactful, flexible, and service-oriented in working closely with internal staff as well as external vendors.  The Grants & Contracts Management Officer will be a part of KFF’s Finance team and will play a central role in the management of more than 100 grant and endowment-funded projects. This position is responsible for supporting the Director of Contract Management and Budget Analysis with financial management, forecasting, grants management, and reporting and compliance for a complex portfolio of KFF’s externally and internally funded projects. The ideal candidate will have excellent analytical, organizational, and interpersonal skills, and an ability to manage a robust volume of work and competing priorities while maintaining a strong attention to detail. This full-time position will report to the Director, and will be based in KFF’s San Francisco headquarters.

Principal Duties and Responsibilities:

  • Collaborate with the Director of Contract Management and Budget Analysis to establish weekly priorities and longer-term goals;
  • Support the Director in the management of externally funded projects and internal appropriations, including initial budget development, project setup, related contracts setup, monitoring and analysis of project spending, and preparation of financial reports to meet external funding requirements;
  • In collaboration with the Director, set up grants and contracts in KFF’s systems and process all contract-related invoices;
  • Assist in maintaining and analyzing budgets and spending for internal projects and external grants, and estimating annual payout forecasts;
  • Assist in developing and implementing internal processes and controls for contracts, grants and appropriations;
  • Participate in the thorough review of contracts and grant agreements, ensuring compliance with internal KFF policies;
  • Develop a solid working relationship with staff across KFF, responding to inquiries and providing assistance and support on budget development for grant proposals and internal appropriations;
  • Coordinate with KFF’s Development team on grant proposals and application requirements as needed;
  • Provide training and skill-building guidance for KFF staff on external funds management, budget development, and compliance as well as other grants and contracts best practices; and
  • Special projects as needed or assigned.

Minimum Required Expertise and Qualifications:

  • Strong analytical skills and the ability to compile and analyze financial and other data;
  • Excellent written and verbal communication skills with an ability to effectively communicate with a broad range of stakeholders;
  • Ability to work independently on concurrent projects and balance multiple priorities, with strong project management skills;
  • Tact, discretion, and good self-expression with a flexible and positive approach to problem solving;
  • Proficiency with Microsoft Office Suite with advanced Excel skills;
  • Prior experience in the financial management of grants and government contracts preferred;
  • Adept with technology and a willingness to learn new platforms and tools;
  • Familiarity with project management and accounting systems a plus; and
  • Bachelor’s degree or equivalent experience preferred.

This full-time position will be based in KFF’s San Francisco, CA headquarters, located in China Basin. KFF is currently working a hybrid schedule and requires all staff to work in the office a minimum of 3 days a week.
